Microsoft Email Security Change Impacting Dynamics GP Users October 1, 2022
Microsoft is planning an important change to email security on October 1, 2022. The changes involve changing from ‘basic authentication’ to a more secure method to communicate with your mail server involving Multifactor Authentication (MFA).
This article explains how this will impact Microsoft Dynamics GP users and why it important for some clients to schedule an upgrade to the latest GP version as soon as possible.
Which Microsoft Dynamics GP users will be impacted by the Microsoft email security change?
These changes will impact all Microsoft Dynamics GP users that are not using the latest version of the product.
On October 1, 2022, companies running an older version of Microsoft Dynamics GP will not be able to use the email and workflow functionality in the system. This could interrupt the way you currently use the system.
Before October 1, 2022, companies not on the latest version of Dynamics GP will likely experience disruptive email outages, similar to what occurred in the October/November 2021 timeframe. Microsoft may temporarily disable ‘basic authentication’ on a client’s Office 365 to provide a notification that this change is coming later this year. We can assist you with a few workarounds available until the October deadline.
What is the latest version of Microsoft Dynamics GP?
The current version of Dynamics GP is 18.4 (aka GP 2022) and was released October 1, 2021. The previous version was Dynamics GP 18.3 (aka GP 2021), which was released October 5, 2021.
Support for Multifactor Authentication (MFA) was added to Dynamics GP version 18.3 and enhanced in Dynamics GP version 18.4.
How can I check my current version of Microsoft Dynamics GP?
Follow these instructions to find out what version of Microsoft Dynamics GP you are currently running, or ask your Microsoft Dynamics Partner for assistance.
Option 1:
Take note of the version number that shows on the bottom left of your login screen to Dynamics GP.

Option 2:
Click the help menu in Dynamics GP (the blue question mark icon on the top right corner), then click on “About Microsoft Dynamics GP” in the dropdown navigation. Your version number will show on the top of the second column of the pop-up box.

Why is Microsoft making these email security changes?
Microsoft has millions of customers who have Basic Authentication enabled in their tenant but only use Modern Authentication. Unfortunately, many of them don’t know Basic is enabled and the risks it presents, so Microsoft will help secure their data by turning it off.
During the next few months, Microsoft may temporarily (less than one day) disable ‘basic authentication’ on your system if you are using Office 365 for your mail. This is also known as Exchange in the cloud.
The intent of this temporary interruption to the mail system is to provide a notification that this change is coming on October 1, 2022, so that all clients can be warned in advance and take steps to be prepared. Here are some helpful articles for you to review you with your IT team.
